Event Coordinator

This position is responsible for supporting sales pipeline and sales leads for our event and meeting room space on Lake Union. This position ensures that the guest experience with our company creates the best offsite meeting and event experience. Responsibilibities will include support for the sales team with a primary focus on coordination and execution.

Necessary Skills

  • Take over communication with client from sales team once contract is signed and deposit is made. Confirm all details for each event, follow up and answer questions.
  • Execution of event, including coordinating all setup before event and being the point person during event as well as clean up and returning space to standard setup.
  • Schedule walk-throughs prior to event including AV testing and logistics.
  • Work closely with management to coordinate all bookings to ensure most efficient execution with the best guest experience.
  • Organize monthly calendars with all contracted and pending events and communicate upcoming needs to management team.
  • Collect final payment prior to event date and close out each event in CRM.
  • Conduct a post-event NPS Survey with average of 9 out of 10 score to ensure we delivered on a magical experience and to inquire about repeat bookings.
  • Join specific business organizations and attend meetings to build strong relationships and connections.

Experience Using These Tools

Google Docs and Microsoft Office. Research, create, and implement process and workflow improvements to maximize efficiency and productivity. Basecamp / Trello / Smartsheet. WordPress. Social media posting and organization for Twitter / Facebook / Instagram. Newsletter creation and editing with MailChimp. Client data management Zoho / Salesforce / PipeDrive / PipelineDeals.

Minimum Requirements

  • Must be able to work a flexible schedule.
  • Prior sales, customer service, and event experience required
  • Proven track record of meeting and exceeding goals
  • Must be able to read and comprehend a BEO, diagram, and any other documents associated with catering sales and events
  • Must be able to attend and or coordinate networking events on evenings
  • A four-year degree and minimum of 4 years of experience in event space management
  • Have attended startup events like a Startup Weekend, GeekWire events, and Seattle Startup Week.

Compensation and Benefits

  • Salary DOE
  • Three (3) weeks paid vacation, plus company is closed between Christmas and New Years as paid benefit
